EpikInsight LLC  ·  Effective Date: June 2026

This Privacy Policy describes how EpikInsight LLC ("EpikInsight," "we," "us," or "our") collects, uses, and protects the personal information of individuals who visit our website, apply to participate in research studies, or engage with us in any capacity. By using our services, you acknowledge that you have read and understood this policy.

Section 1
Who We Are

EpikInsight LLC is a boutique participant recruitment firm based in the United States. We source and manage independent contractor respondents on behalf of national market research companies, insights teams, and research facilities. All contractors engaged through EpikInsight are compensated directly by EpikInsight LLC on a per-project basis.

EpikInsight is not a market research firm. We do not design, conduct, or analyze research studies. We are a recruitment intermediary that connects qualified participants with research opportunities sourced from our client roster.

Section 2
Information We Collect

We collect two categories of information: information you provide voluntarily, and information collected automatically when you use our website or services.

Information You Provide

When you apply to join our contractor network or otherwise contact us, we may collect:

  • Full name
  • Email address
  • Phone number
  • City and state of residence
  • Age range and employment status
  • Study format availability and general background information
  • Tax identification information (required for 1099 compensation purposes)
Information Collected Automatically

When you visit our website, our servers may automatically collect standard data including your IP address, browser type and version, pages visited, and time spent on each page. This information is used to maintain and improve our website and is not used to personally identify you without your consent.

Sensitive Information

Certain research studies may require the collection of sensitive demographic or health-related information. We will always obtain your explicit, affirmative consent before collecting any sensitive data, and such data will only be used for the specific study purpose for which it was collected. Sensitive categories may include:

  • Racial or ethnic origin
  • Health or medical conditions
  • Religious or philosophical beliefs
  • Political opinions
  • Financial circumstances
Important: We will never collect sensitive personal information without your express consent, and we will never use it for any purpose other than the specific research project for which it was disclosed.
Section 3
How We Use Your Information

EpikInsight uses your personal information only for the following purposes:

  • To evaluate your eligibility for research study opportunities
  • To match you to studies that align with your profile and availability
  • To contact you regarding study assignments and scheduling
  • To process compensation payments directly to you upon study completion
  • To fulfill tax reporting obligations (e.g., 1099 filings with the IRS)
  • To maintain and improve our contractor network and platform
  • To respond to inquiries and provide support

We do not use your personal information for advertising, marketing to third parties, or any purpose unrelated to the recruitment and compensation functions described above.

Section 4
How We Share Your Information

EpikInsight does not sell, rent, or trade your personal information. We do not share your information with third parties for marketing or advertising purposes.

We may share limited personal information in the following circumstances:

  • With research clients: Only the information necessary to confirm your eligibility or participation in a specific study. Clients do not receive your full profile or contact details without your knowledge.
  • With service providers: Third-party vendors who assist us in operating our platform, processing payments, or managing communications — subject to confidentiality agreements.
  • As required by law: In response to valid legal process, court orders, or regulatory requirements.
  • In connection with a business transfer: If EpikInsight is acquired or merges with another entity, your information may be transferred as part of that transaction, subject to the same protections outlined in this policy.
Phone numbers collected through our application process are used exclusively for communication related to study participation and are never shared with third parties for marketing or lead generation purposes.
Section 5
Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law.

  • Contractor application data is retained for the duration of your active engagement with EpikInsight.
  • Financial and compensation records are retained for up to seven (7) years for tax and legal compliance purposes.
  • If you request deletion of your account or personal information, we will remove your data within a reasonable timeframe, except where retention is required by law.
Section 6
Security

We take reasonable technical and organizational measures to protect your personal information from unauthorized access, loss, misuse, or disclosure. These measures include encrypted data transmission, restricted access controls, and secure data storage practices.

While no system is completely secure, we are committed to maintaining protections appropriate to the type and sensitivity of the information we hold. In the event of a data breach that poses a risk of harm, we will notify affected individuals and relevant authorities as required by applicable law.

Section 7
Your Rights and Choices

Depending on your location, you may have the following rights with respect to your personal information:

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may request that we correct inaccurate or incomplete information.
  • Deletion: You may request that we delete your personal information, subject to legal retention requirements.
  • Opt-out: You may withdraw your consent to participate at any time, without penalty. Participation in all research studies is entirely voluntary.
  • Non-discrimination: We will not discriminate against you for exercising any of your privacy rights. Your selection for study participation is based solely on research project eligibility criteria — never on the exercise of your rights.
  • Portability: Upon request, we will provide your personal information in a commonly used, machine-readable format where feasible.

To exercise any of these rights, please contact us using the information in Section 9 below. We will respond to your request within 30 days.

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to delete it, the right to opt out of any sale of your data (we do not sell personal data), and the right to non-discrimination for exercising your rights.

To submit a California privacy request, please contact us at the email address listed in Section 9. We do not sell personal information and have not done so in the preceding 12 months.
